    I am currently working with Mary's Meals Malawi. As a school meals programme we have headteachers and school teachers correcting some data for us. We have given them some tools to collect attendance and enrollment monthly.

  • I am very impressed with all the data collection methods that i have learned about, they were actually helpful in terms of improving the systems in the organization that i am working in. I have cove to realize that collecting data in an organization is very important because it helps us to keep track of the progress of our work and to be able to account on everything that happens. as well as checking whether the people we are servicing are satisfied with our work and the services that we are providing for them.

    to ensure that the data collection method we use is easier to everyone we will request that our field workers be the ones who will go to the field and fill in the forms and explain to people while they do that to avoid confusion.

    the tips that i would give other learners is to at least employ officials that are multi lingual, that would be able to explain to the communities or individuals whom they will be conducting data from on what are the forms all about and why they are filling them in.

    @BMENGICH, I'm not against your point 4. and the example given but like demography survey these type of questions are always in play it just left with the interviewer to always put the respondent at ease before he/she started asking these type of questions. Most times income questions are not compulsory to answer or are been drawn in range e.g. $1 to $50.These type of questions can help researchers with information to find the right target audience, conduct pricing research, and many more.

  • For you to create a tool that users can easily use, you need to;

    1. Use a simple order/ easy flow of questions which makes it easy to fill
    2. Use simple word and or language that can be easily understood. where words used can be misunderstood or ambiguous, define them in the context of the survey/project.
    3. Where codes are used/ to be used explain them
    4. Always pre test the tool and revise it to include all the issues that could have come up in the pretest
    5. Always train the team(s) going to use the tool
    6. Attach a detailed instruction sheet explaining how the tool is to be used. Also specific instruction can also be attached to specific questions where necessary.

    The level of competence is always a key consideration as it helps to best prepare how good the information you want to collect in cases where self-filled forms are used.

  • To create data form that can be easily used even by people with low level of training, first of all the form must simple with only the essencial indicators. The language must be direct, objective and simple to understand. Before the Form are destributed to use it must be tested with the people who are going to use it and take feedback from them about how confortable are they in using the form! If is their any question that are misinterpreted and revise it the form according to their feedback. To think about who is going to use the form is the first step to be considered when creating data forms.

    • Before preparing a Tool, It is better to understand who will use this tool and for whom this tool has been prepared.
    • Language used in the tool should be user friendly
    • And the tool should be prepared with simple objective based questions, so that the user should not get confused.

  • When creating data collection tool, always ensure that is as simple yet versatile enough to collected as more information as possible. The tool should easily understood and used well by the intended users. The wording should not be complex or ambiguous in nature, straight forward words would suffice. Also the level of education of the intended users of your tool should be put into consideration that way you are likely to design a simple and easy to understand tool.

    I am currently studying but previously worked for an international Ngo Plan International. This is a global child centred organisation that does a lot of surveys, focus group discussions and data analysis to gather information related to children's education, healthcare and welfare of their families. They work with sponsored families based in the west that normal request detailed information about the children , their families and the community.

    The tip I would give to other learners is for creating tools is to keep the tools as simple as possible.

    I found the tip by APOSTLEDAVL58 on keeping the language simple very useful.

  • plan normal design questionnaires and in other to obtain the necessary and relevant information it ensures that the tracking form is clear for community volunteers and staff to use It normally has the age , gender, community, occupation , literacy level for the participants and the name , signature and position of the person administering the form. All these is accompanied by the questions related to the subject of research. it is very important to get this correct because any mix up will result in a wrong analysis and conclusion of the subject matter.

    @Agasha, For question 1, I don't think it a matter of trust, I think its important for participant to fill their own forms because it might motivate or give them confidence that they are fully integrated into the project or it could also be for confidentiality particularly in health or financial project where you need some critical or private data from participant.
    Question 2. My experience from the previous organisation I worked for, to prevent field officer(enumerators) from manufacturing or filling the PTF themselves which according to plan was to be filled by participant, they normally asked us to take GPS coordinates of the exact locations where the forms were filled and also we each team have one supervisors as back-checker. This back-checker visit these communities after the team has gone and randomly select some participant to fill their PTF which he will bring to the officer for comparison. If we found out one or some PTF are totally differs from the field officer's PTF then that particular field officer is in problem and will be investigated and dealt with accordingly.

  • the simplest way might be for a person to create a tool which is simple to use is to think of what you want to achieve or maintain in terms of quantity quality (this depend on type of project you are implementing), then think of who or what you want to get involved through the process of implementation (this can be age group, Sex), you can also add the column for contacts which is helpful for further communication

    The first step is to identify, who the user is. This is the most important part of using data collection tools. Then, one need to focus on, up to what much the user is acquainted with the terminologies written in the format. If users are unknown to the project and terminologies that are used in the data collection format, it would be good to give them training around data collection tools and then demonstrate it such that error can be rectified. Offering assistance in completing your collection tool is always helpful for those who may have a low level of education, training, or language fluency. This could be in the form of instructions, or a staff member/volunteer to help the participant complete the tool.

    @Agasha these are great questions when considering a PTF, and @Alim16 thanks for addressing them! I've often wondered which way to go with completing forms like these... is it easier for a trained employee/volunteer to complete the form for the participant since they would be trained on how to complete it, or would it be better for the participant to complete it, even if that means follow-up questions when a form is incorrectly completed? I think the point you make about how completing a document like this themselves provides not only a sense of pride in their participation, but also security in the program itself is important to consider when making these decisions.

    I think trust may not be the correct phrase but is an expression preventing the delegation of authority to others. I think is better when the respondent are allowed to express themselves in their own words . A field officer's word might express the information in a way that it was not intended to be .For me is a case of hearing the respondent directly.
    In the second instance the use of photographic evidence avoids or eliminates the possibility of fraud . It is used by Plan International and I will recommend other organisations follow that route,

Completing a tool that asks for information that is not pertinent to your M&E can frustrate both the one completing the tool and the one collecting the information after the tool has been completed. Offering assistance in completing your collection tool is always helpful for those who may have a low level of education, training, or language fluency. This could be in the form of instructions, or a staff member/volunteer to help the participant complete the tool.

    That's why it's very important to test the tool, before sending out to the project field....

    Yeah, focusing on essential information, could help the tool to be simple.
