  • To create a Date Collection Tools we need to consider the below points:

    1. Identify who will use the tool
    2. Focus on collecting essential information as there might be numerous information that could be collected
    3. Collect Metadata which indicates the title of the tool, the version, who used the tool, where and when the tool was used.
    4. Make a pre test of the tool
    5. Train staff to use the tool approprateily.
  • A data collection tool is a tool that guide and give a precise detailed and selected information about an individual. Eg, address, age, sex,date of birth,date, location etc. It helps to know who is giving or taking information from a person or set of persons.

  • Data collcetion tools are instruments used to collect data.
    In creating data collection tools one needs to:-

    1. Identify who will use that tool:- Considering who the user of the tool will be will enable one to be able to know how to desighn the tool.
    2. Focus on essential information:- This will enable one to be able to collect essential information needed to measure your indicator. This will enable one to keep your tool simple and save on time.
    3. Collecting metadata:- This enables the monitoring and evaluation team trace the information back to its source.
    4. Pre-test your tool:- Enables one detect a mistake or missing information that should be included in the tool, hence enabling one to be able to revise their tool before it is distributed.
    5. Train staff to use the tool and include instruction:- Different people may interprate the data differently,hence one should teach to the staff and prepare them on what theu might encounter so as they can collect accurate and consistent data.

  • This module gave a refresher on the different data collection methods

  • There are several tools that can be used to collect data depending on the project. Examples include the participant tracking form and the interview guide. Though different, there are general tips that can be used to create any tool. Firstly, identify who will use the tool, and consider their level of knowledge and skills to determine their ability to use the tool. Secondly, focus on important information. Include only data that is relevant to what you are measuring. Unwanted data may only be confusing and make the process tedious. Thirdly, collect metadata, such as, who collected the data, date and place; which will help to trace the source of the information. Fourthly, pre-test your tool to check its efficiency and help correct the errors in advance. Finally, train staff to use the tool and include instructions to ensure the same interpretation of the tool. Without instructions or training, users may interpret the tool differently.

  • What application do you use to create your form?

  • Do different projects require different data collection tolls based on nature of project.

  • Unrealistic targets make it difficult to collect data and report it .

  • Data collection tool is a guide to help individuals in an organization to collect data.
    In creating data collection tools one need to first understand the indicators they want to measure.

  • Well elaborated, Good job

  • I agree to this.

  • Data Collection tools are the lifeblood of M & E because they'll assure the integrity and quality of data when they are well designed. If we do not track data using data collection tools, we might as well be wasting resources.

  • Creating data collection tools only comes in place when you have an in-depth understanding of your project's indicators and determining what data collection method will be used. Data collection tools creation involves determining what kinda data you're trying to collect, where it was used, how it was used, when it was used, by whom was the data collected and from who was the data collected.

  • Creating data collection tools can be very tactical at some point. Things like the literacy level of the user has to be put in cognizance, the audience to use it on, the essence of making of the tool etc. It is a major M&E tools that collects data to guide in decision making.

  • That's a good tool in collecting data.

  • It is important to get a form for tracking participant. Now it is used the mobile application collect for data like ODK, ONa,Kobocollect, Survey Solution...

  • Is it possible for a project to have one data collection tool? What would be the possible effects on data management process?

  • To collect relevant data much effort should indeed also be given during data collection tool designing and Training data collectors. Otherwise garbage in garbage out.

  • Felt the same way too. It has been elaborated very well.

  • Data collection tools should be created in way that will allow for easy and clear collection of intended data. When designing a data collection tool one is expected to look at who will use the tool and the most essential information possible. Provision should be made for collecting metadata and thereafter the tool tested. It should not be assumed that the tool is self explanatory but staff trained to ensure the tool can effectively applied

  • Well articulated

  • Participants tracking form is summarized but specified record of participants in a project. A good participants tracking form should be designed with the following considerations

    1. Understanding of the indicators measured
    2. Consideration for type of information to be recorded
    3. How the form will be filled
      After creating the form, it should be tested and revised accordingly to achieve intended results.

  • Time, money, and the skills are the most important parameters which determine data collection tool.

  • Creating Data Collection Tools helps M & E access the benefits of their indicators

  • This is very important and needs expertise to create data collection tools

  • Data collection is vital and the soul of the project, coz without data you are not going to measure your progress well

  • To me data collection is like a preamble of the project which helps during the whole process of M&E

  • Assuming MEH uses workshop or meetings to collect information and it happens that names of participants are recorded when the session begins. At the end of the session when it is time to issue microloans to participants it is noted that some left before the session is over, would it be wise to include contact of the participants to track them because they might have left to attend to an emergency?

  • What information will you record under class? Is it names or number of individuals?

  • a data collection tools made a field officer to be able to know what the respondent has to answer.

  • It is important. Select data collection tools, be they surveys, focus groups, interviews, observation, document review, laboratory messages, or workshops or community meetings, since these tools will not be practical if they do not help us collect the information we need to obtain with the precision and detail that we need depending on each case.

  • Could project officers act as M&E officers at the same time?

  • In creating Data Collection tool, I have learned tips that can help to design a clear tool including: Focusing on essential information(This avoid time consuming and record of unnecessary data). Identify who will use the form, here you should decide whether its a staff member or if each participant fill the form individually. you should also pre test your tool before distributing it to the users. Staff should also be trained how to use the tool and given instructions. It should contain also metadata.

    I have also learned that the most commonly used tool is the Participant Tracking form (this includes human participants), however depending on the kind of the project that I are working on, I can create my own tool.

  • It has been a wonderful lecture.

  • After the stage of indicator one of the most important things to do is to select the tool of data collection

  • Data flow maps are very useful tools for M&E planning. They show how data is collected, managed and used. A real data flow map is complex. However, we can create a quick version of a data flow map using just a few pieces of paper.

  • There are not topic discussions to respond to but I would be interested in applying this method to a more digital-orientated project such as using social media to gather data on advocacy efforts. Or whether or not it is a good tool to use. For example Google has tracker of sorts for website usage/views.

  • There are several steps in creating data collection tools such as: identifying the goals & performers, coming up with question to accomplish investigation, developing a data collection plan to enhance the process. Then create a data collection instrument and finally you collect data

  • There are so many types of data collection tools but the most versatile type of data collection is called: Participant Tracking Form. This tool collects data on the people who participate in a project.
    Designing and using a data collection tool can be a time-consuming, expensive process but the following tips can make the process a little easier:

    1. Identifying who will use the tool;
    2. Focusing on important information;
    3. Collecting metadata;
    4. Pre-testing the tool;
    5. Training staff to use the tool and including instructions.
  • Before deciding to create a data collection tool, one needs to first know his/her target groups, participants or respondents, as well as some few information on the person that will need to use the data

  • data collection tools are needed to set up project evaluation indicators, assess to what extent and to what extent you can target your objectives.

  • It is interesting to know that data collection tool is an essential aspect of monitoring and evaluation. I got to understand better that: Interview, survey, focus group, laboratory experiment, observation and many more are tools use for data collection. And each of these tools is used based on the indicators in the log frame

  • In creating data collection tools from what I learnt, it is important to understand who would use the use the tool(s). The level of education of the person filling the form(s) should be considered, this will help in making the form easy to understand and less ambiguous.
    Attention should be paid to essential information: when creating a form, the data that you need to capture to measure your indicator should be priority when creating a data collection tool.
    Metadata should also be included when creating a data collection tool, (the title of the tool, the version of the tool, who used the tool e.t.c). Metadata is important for "accountability", the M&E team can at a glance know the title of the documents for clarity and to know the person who used the tool maybe for official purposes.
    Pre-testing of a tool, this is important as it will help identify missing data fields.
    Training of Staff to use the tool, this cannot be over-emphasized. It is important to train persons that will be filling the form(s) this will help define what indicators are on the form, the standardized way to collect certain information to avoid knowledge gap. Likewise it is important to add an instruction to the data collection tool(s), how the data will be collected, the language used in creating an instruction sheet should be simple.

  • Need more examples on Data Collection Tool

  • One of the data collection tools are the peer educator session diary. this is a form that collects data from the peer educators as they conduct their session. peer educators are easily accepted in the community because they are selected from the community and taken through a session about Monitoring and Evaluation

  • understanding the mode of research and your participants is vital in making sure that you choose proper data collection methods and tools afterwards.
