creating data collection tools allows us to store and analyze important information about existing and potential beneficiaries
There are various ways of collecting data depending on the tool data collection. There are various ways on which to select a tool, the following are some of the criteria to use. One can ask the following questions when selecting a data collection method:
What?
who?
by whom?
how often?
Can we do this?
The following methods can be used for data collection they include:
Survey
observation
interview
focus group
document review
laboratory measurement community workshop or training
Data collection tools refer to the devices/instruments used to collect data, such as a paper questionnaire or computer-assisted interviewing system. Case Studies, Checklists, Interviews, Observation sometimes, and Surveys or Questionnaires are all tools used to collect data. The preparation of these data collection tools were refer to the objective of the assessment, method we imployed and the final analysis and discussion parts.
Participation tracking form plays a vital role in keeping track of one's progress,Moreover it makes it easier to collect the relevant data.
Qualitative and quantitative data have different ways of being collected as different data collection methods focus on each thus making it easier for individuals whether experienced or non experienced as there are those easy to use
data collection tool should be comprehensive; have both monitoring and evaluation indicators as well as quantitative and qualitative indicators. Indicators should be grouped according to the frequency of collection.
The trap of wanting to have many unnecessary indicators should be avoided
Data collection tools are very important for a project. They determine how data is going to be collected. There some things to consider in selection of data tools. Identify the users, focusing on important information, collecting the metadata, performing the pretest and also train your staff on using the tools.
Its also important to create the a participant tracking form. This is very important because it will in minimizing biases in a project.
It is an essential step because if the tool is not created correctly you may miss on vital information and if you do not follow all the checks in place you may realise late that you missed crucial data
it's indeed very important to carry out role play exercises especially for very detailed tools. it is also very important especially for some surveys like end line surveys that leave no room for error.
Great section, helped to understand how to organize our data collection tools to collect the most useful information possible
Data collection tool is vital for projects monitoring and evaluation. The very problem with some organization is using one for longer duration without revising it.
Creating data collection tool is one of an in important step in designing M & E plan .It helps us accurately measure the indicators. It needs skill and follow a systematic procedure.

This topic has really answered a lot of questions on my mind. I usually feel that many tools do not answer or include enough data for analysis, now I know I create my tool and add the most important information to it and add other necessary ones that reflects my indicator, Thank you
Exactly, not all method is a great fix for all types of Data, knowing this is solving at least 20% of data analysis problems
In creating a tool, ensure the import and necessary information is collected. those crucial to the analysis
This module has been very instructive for me. I use survey forms and interviews to collect data from beneficiaries of my project
this is actually the most clear module of this course, it was easier to understand
Teams must test the form ahead and at a right time to avoid both missing and confusing data and self-imagination, to track the false data hidden in the data, to recognize the missing data, to catch errors hidden within data, to track if there is enough space for recordind needed data.
I think that creating data collection tools requires a vision, not only written tools. Every information you have to find must take in consideration the disaggragation of the indicators
Very good interest cours and discussion
Data collection tools should be decided after both disadvantages and advantages as been weighed well.
Understanding and defining the goals of the project is an important step in creating the right data collection tool.

all the essential steps must be followed to create good quality data collection tools
it is really very important
super, i agree with this
Yes it is important to test the forms before deploying
How do you made your participants tracking form?
It's very crucial to choose the right data collection tool for your indicators.

Data collection is an extensive process of collecting information to make direct observations and answer open-ended questions.
Businesses use data collection to gain real-time insights into a particular issue or workflow process. Research conducted through data collection and analysis enables stakeholders to make more informed decisions that improve overall business performance.
knowing data collection tools enable one ease the data collection process since they are trained on how to use the tool, tested its efficacy and is easy to use for the one implementing the process.
Tools should be carefully made to avoid collecting wrong data
Make sure that the tool is not ambigous
Is it possible to use tape in record to general a data
Data collection tools are important in collecting data in project and monitoring and evaluation. There are various data collection tolls and these depend on the indicators of the project. It is important to use the fewest possible tools because it is easier to handle and so reducing the risks of invalid data. The tools to be used depend on the indicators of the project and different indicators can use the same data collection tool. For the tools to be effective, the staff or people to use the tools need to be trained on how to use the selected tools despite the assumptions that they may already know how to use the tools. While selecting the data collection tools to use, it is important to consider some issues like; identifying who will use the tool, focusing on the important or essential information, collecting metadata and pre-testing the tool.
its really important to test the form and take the opinion of your team members about it
For each indicator, a participate tracking form can be created. So it is possible to have numerous participate tracking forms for single project.
Should a M&E officer be proficient in statistical analysis?
Before creating a data management tool, one must be in the clear understanding of what kind of data should be collected.
Modes of data collection tools are also important for some specific areas. For example, a M&E specialist nowadays try to use the online mode for data collection which is moderately possible for the city, but not remote areas where do not have internet connection stable or accessible as well as people with know-how.
Deciding which data collection tools to use before the project starts is very important as you might miss valuable opportunities to gather data from the onset if data gathering only starts when the main activities of the project are being implemented.
It is important to note that there is a vast body of knowledge out there. The possibility that ones project has ever been implemented somewhere on the face of the earth is there. It is always a great practice to do a formative research of your project; learnt from those that have done it before. Reinvent the wheel where need be. This will save you time and other resources than when one may start from ground zero.
Very helpful module
Very helpful module
The module no 4 is very interesting module • because in learn how to create Participant Tracking form,• Data collection tools, • Choose data collection methods for all of your indicators, • Data collection methods are the processes for collecting data etc.
exactly because if don't know your goal don't expect to get the result because u don't have direction
your right because if don't know the type of data that you collect no way that you will create any tools or form
The kind of data that will be collected will determine the kind of tool to be use for the data collection
Really Happy for the lessons. they are important tools that can improve level in Project Management/
thanks for this TRAINNING

To create data collection tools it need a collaboration amongst program implementers and the M&E staff to ensure they are inline with the target or the change that the project aims at achieving.
To help the organization communicate and work together towards common objectives.
• To ensure that valuable data is properly collected, stored and used.
• To organize the many roles and responsibilities that M&E requires.
is it good to have data collection tool in another language and electronic database capturing the same data in another language ?
Most are based around a core set of basic tools. These include interviews, focus group discussions, observation, photography, video, surveys, questionnaires and case studies. Data may also be generated through direct measurement, reviewing secondary data, and informal project / programme management processes.
It is important to decide the tools for data collection because research is carried out in different ways and for different purposes.
is quite important as it help in collecting reliable data in making M &E Plan successful
data collection tools enable one gather just as much information needed to make the necessary actions.
Data collection and analysis tools are defined as a series of charts, maps, and diagrams designed to collect, interpret, and present data for a wide range of applications and industries.
Case Studies, Checklists, Interviews, Observation sometimes, and Surveys or Questionnaires are all tools used to collect data

Please guys, who have experience in developing data collection tools? Let's share practices
I'm now designing my data collecting form which I will track with to see how many projects participants have received capital to start cooperatives.
very good we create based on the variables defined
Developing a participant tarcking form is improtant because it can also help you monitor if the right participant are being reached with the program. Again piloting the tool is important to validate the tool.
It's a useful course

The participant tracing form is a great documents that is used to record the participants details.
example we have to record the name, age, level of education of the participants.
data collection tools are participant tracking form completed daily by field officers, participant survey conducted monthly by the M&E team and a review of the local government’s data on business registration also conducted monthly by the M&E team

The user of the tool
Indeed. That should be the first step in deciding what type of tool to use.
This was a very helpful module, as I have been supporting projects to prepare tools for years. I feel much better equipped now and it was good to learn about the importance of each tool and the risks.
Creating data began with or after getting your targed.
First you have to answer the following question:
1-what do you want to recognize ?
2- what time it is possible to do that jop or project?
The module was well explained
Take in account who is to use the tool
This is a critical and important part of the M&E unit as data collection determines how the indicators would be measured.
Very important step in monitoring and evaluation of projects

Some of the ideas given below have been borrowed from Moriarty (2002, p. 36). Others are currently proving to be effective methods in museums in the East of England. They all demonstrate that evaluation can be a fun and creative process. These methods should stimulate discussion, with most requiring some interaction between staff and visitors, because the outcomes from any such dialogue would need to be noted down by someone facilitating the discussion. Only one method (the graffiti wall) is a stand-alone method (i.e. it does not require a member of staff on hand to facilitate it).

Importance of data collection tool
1 streamlining the research process.
I am interested in guidelines and best practices for creating surveys. For example, for my project there will be a pre/post-surveys to gather information on knowledge gained and perspectives on a topic. However, deciding how many questions to include is tricky. Too many will likely result in students skipping questions and too few will limit our ability to evaluate the project. Also, I would like this to be an anonymous survey but we would need to be able to link the pre- and post-surveys to see changes in participants' responses. I'm considering assigning each student a number, but I wonder if there are better strategies.
Creating a Data Flow Chart helps to identify the roles and responsibilities of the different stakeholders. I found it useful to visual the different steps of data management over the life cycle of a project. Using this chart will also be important for creating the project timeline because it shows the different stages of data management (collection, entry, quality review, analysis).

When creating data collection tools , M & E should consider important points for the participants such as the name , village where they reside, their age for effective record management.
