  • It's a good to create a Data collection tools so the collecting data during staff members field visit...

  • Global Social Entrepreneurship in tourism project

  • How much metadata should one include in participant tracking form?

  • Creating data collection tools can also be tricky as we need to consider various aspects like the budget and expertise we have for our project. The staff going for data collection should be well trained and well informed as the findings depend on the information they gather. Before deploying anyone in the field for data collection, pilot testing can be a good option to see if any component needs revision.

  • From today onwards am able to come up with the data collection methods and design tools for collecting data.

  • Data management has been a challenge to me. Today, am able to follow and recall everything that I missed in managing data. This course is very helpful

  • Data collection tools need to be specific as per the methodology and objective of the project.

  • What is the creating data collection tools?

  • Yes that very important

  • Data collection tool: participant tracking form this is the versatile commonly data collection tool that record a piece of information of the people who participate in the project. Data collection tool is created by following six procedures
    1: understanding your indicator
2:Decide which information will be collected
3:Decide how the form will be filled
    4:Creating participant racking form
    5: Test your form
    6:Revise your form
By doing soo you are ready creating the tool.

  • First of foremost it's very important to understand the you indicator before you create a data collection tool .but question is that it necessary all the time to put the age column when designing the collection data tool

  • Yes in an organisation I used to for my supervisor used to work as m&e at the same time,so it's very much possible

  • we need to really understand what kind of data we want to collect and accordingly work on data collection tool

  • Data is vital to the success of every project. It plays an integral part of the project. Data in its raw self is useless. It has to be processed and then transformed into information. This information is what will help us understand what we have, what's working and what's not. But first, we need to have this data. There are a number of ways we can collect data, this includes the following:

    • Surveys and or Questionnaires
    • Interviews
    • Observations
    • Focused Groups

  • The names and numbers are important for reference purposes. But adding more fields, like gender (if the project is for both Male and Female of course), Age Range and metrics for the inputs (Amount of money, time spent or space given out).

  • Well said. Defining the goals and objectives will help identify what data we need and how to best collect it.

  • Good Question: Data collection tools refer to the devices/instruments used to collect data, such as a paper questionnaire or computer-assisted interviewing system. Case Studies, Checklists, Interviews, Observation sometimes, and Surveys or Questionnaires are all tools used to collect data.

  • Yes, this module is very useful and supportive to create a form or guide line of tracking which is very critical in the monitoring and evaluation. Like that you said, there are a lot of other types of tracking styles. Even though other styles, i think most of all are based on these lists.

  • Very interesting to note that, creating data collection forms are not ease as we might think. However, this module has provide very important things to note when creating a data collection form. If one may understand different layers of indicators (Input, Output, Outcome & Impact), would helpful to create a right tool to collect data for each indicators, especially on input & output (Routine data collection).

  • Anyone to share their experience on how they created data collection tools from scratch for their projects

  • No monitoring let alone evaluation can be carried out without data collection tools. Without data, nothing can be verified. This then making data collection a very vital aspect of any project. It cannot be ignore or taken lightly as it can make or break a project.

  • That is an idea idea. Though you would need to deceide what data you want to collect and for what purpose. You ca collect almost any data on Social Media through surveys or even through the search of Key Phrases in specfic fora.

What you want to collect, whom to collect it from, among the host of their domographics will definately narrow down the model you use to collect such data.

You could still test a few models and see what works best eventually.

  • The styles are heavily reliant on several factors; the stakeholders engaged, education, knowledge, costs, ease of use, portability among others.

Mobile surveys are fantastic but depend on nature of phones (smart) and users ability to navigate it. May need internet to execute which upcountry there may be no network, and mostly use of rudimentary phones as an example.

  • This does not have a one size fits all response as you may have noticed from tthe study, it is dependent on the project and data that is to be collected.

Other than you find a specific project and as them to explain; that would be the omost ideal way to get your response

  • Good for you. It is nice to cme across persons that have benefited in learning. Collection of data suprcedes projects though it is the latter were it is defeinately deliberate and purposeful collection is a necessity.

  • Data collection tools are interview and survey

  • Creating data collection data tools is a hands on task which has its stages .Firstly a group of indicators can be measured with the same tool if they share the same source and collection schedule.

  • IT is interesting to know that data collection tool is an essential aspect of monitoring and evaluation. I got to understand better that: Interview, survey, focus group, laboratory experiment, observation and many more are tools use for data collection. And each of these tools is used based on the indicators in the log frame.

  • On data collection Tools / Methods Including but not limited
1- Interviews are probably the most common
the tool used in planning, monitoring, and evaluation.
2- Focus group discussions: Focus group discussions
(FGDs) are facilitated discussions, o small
group of people who have specialist knowledge or
interest in a particular topic like is Somalia you can interact with IDPs and returnees
3-Observation: At its most simple, observation involves
‘seeing’ things – such as objects, processes on the IDPs settlements, environmental latrines they uses and others

Question 2: Is a Participant Tracking form only meant for ONE indicator? Can a group of indicators share in the same Participant Tracking form?

  • I've created and used online surveys many times, mostly in the initial stages of a project to identify current problems, perceptions, knowledge baseline, and other information to be taken into consideration during the problem analysis. I find that surveys also can provide an opportunity to gather input from the beneficiaries on meeting challenges or resolving problems. Since I work mostly as a consultant for the initial stages of a project, it is up to the employing organization to monitor and evaluate the project. I have found that most often, the organizations undertaking a project do not pay sufficient attention to the cost and time required to collect the data for the indicators in their project. Additionally, the turnover in staff means that new staff may be responsible for collecting and calculating outcome indicators that they don't understand, since written explanations of the indicators' source and calculation method is usually not recorded at the outset of a project. Recognizing that data collection for outcome level indicators can be resource-intensive, OECD has advised that no more than three indicators should be identified at the outcome and impact level. As emphasized in this course, indicators should be thought through carefully before a project document is adopted, with a view to selecting a limited number of the most relevant indicators and documenting the basic information about them so that new project managers will understand them correctly.

  • It is important to create data collection tools and have it tested first before using it.

  • creating a data collection tool requires come up with forms that will help the individual collecting the data. this may include surveys focus groups in the same line the host must have a participant tracking form that will have information or in other words demography of the participant in question. in addition metadata assets one to answer question of how data will be collected and who should collect the data, also it answers when will the data be collected and how was the data collected.

  • in the same line with the expense of the tool we have to ask when the data should be collected and experiment on the model of the tool created before using its on the intended individual to help know if the tool will save its purpose.

  • great example of forms!

    1. Survey, as the act of examining a process or questioning a selected sample of individuals to obtain data about a service, product, or process. Data collection surveys collect information from a targeted group of people about their opinions, behavior, or knowledge.

    2. Interviews, interviews are used to collect data from a small group of subjects on a broad range of topics. You can use structured or unstructured interviews. Structured interviews are comparable to a questionnaire, with the same questions in the same order for each subject and with multiple choice answers.

    3. Focus groups, are a qualitative data collection method, meaning that the data is descriptive and cannot be measured numerically. When should you use focus groups for evaluation? To get more in-depth information on perceptions, insights, attitudes, experiences, or beliefs.

    4. Observation, is way of gathering data by watching behavior, events, or noting physical characteristics in their natural setting. Observations can be overt (everyone knows they are being observed) or covert (no one knows they are being observed and the observer is concealed).

    5. Record or document review involves systematic data collection from existing records. Internal records available to a capacity builder might include financial documents, monthly reports, activity logs, purchase orders, etc. The advantage of using records from your organization is the ease of data collection.

  • creating data collection tool will invlove knowledge of the indicator

  • A data collection too should straight forward and not having a lot of details most importantly a data collection should have details of the participants and the officer collecting the inform and before practically using the tool on targeted individuals the tool has to be tried out for any improvement and evaluate if the tool will produce required outcomes.

  • most are based around a core set of basic tools .these include interviews, focus group survey, questionnaires and case studies. data may also be generated through direct measurement reviewing secondary data and information project programmen management

  • FOCUS GROUPS
The opposite of quantitative research which involves numerical-based data, this data collection method focuses more on qualitative research. It falls under the primary category for data based on the feelings and opinions of the respondents. This research involves asking open-ended questions to a group of individuals usually ranging from 6-10 people, to provide feedback.

  • This is one of my most interesting phases in any field work. I have work as a researcher and this phase sounds easy to most people than it actually is. Most of the time, people who come to me for consultation design tools that measure indicators and leave out essential indicators. The systematic process of creating collection tools should be followed in all projects

  • You must detect a good indicator and creat a metadata

  • Designing Data collection tools need the involved of the entire office team, field teams and targeted beneficiaries to make the tools comprehensive as well as effective to collect accurately the desired data.

  • the creation of the data collection tool is a very important step of a fact that all that is information on the indicators takes this step into account. this step requires a mastery of the project indicators also the periodicity of each of the indicators

  • This was another interesting module for me. It is not enough to have the right indicators but how are you going to measure these indicators? Using which method, which tool and the kind of data to collect?

  • This is great: I have a question on Metadata; instead of including the location on the form, would I appropriate to use the GPS option especially if this data is to be collected in various field locations?

  • Creating data collection tools to me, it is essential to choose carefully and master your project indicators and grouping them to see what data collection tools to use.
I think the participant tracking form is simple, cheap and can be applied to any humanitarian project

  • Monitoring and evaluation is a discipline that heavily relies on data and to be precise high quality data.

The quality or revelancy of data is also influenced by the quality of indicators defined.

This clearly underlines the significance of indicators in dictating the data collection methods.

Once the method is resolved, the next step is to decide on the collection tool which is influenced by the collection method.

Without the dat collection method and tools project officer sir manager can't determine the failure of success of a project as this can only be measured through the use of data collected.

  • In your data collection tool it is also key to pay attention to capturing quality data through the following principles:

 Voice and Inclusion: ensure that the perceptions, beliefs and explanations by target communities are included in the data to provide a clear picture of who is affected by the project and how.
 Appropriateness: ensure that the right methods are used to collect different types of data.
 Triangulation: ensure that data is collected using both quantitative and qualitative methods, as well as primary and secondary sources of data This allows you to cross check whether the information provided is a true reflection of reality.
 Contribution: develop questions that will elicit responses on how change happens, the contribution of your project to bringing about change, and the factors outside your project influencing or contributing to change.
 Transparency: ensure transparency in your dealings with partners and communities, for example transparency around project budgets and the use of project resources.

You should ensure your field plan meets ethical considerations for data collection. These include:

 voluntary participation: this requires that respondents for data collection are not coerced into participating in any study.
 informed consent: this means that prospective respondents must be fully informed about the procedures and risks involved in the study and must give their consent to participate.
 risk of harm : this requires that you do not put respondents in a situation where they might be harmed as a result of their participation in the study.
 confidentiality: this requires assuring respondents that information will not be made available to anyone who is not directly involved in the study.
 not raising expectations beyond what is in the control of your project.

  • Although creating data collection tools are important. For me what I think is most important has to do with the relevance of the tool to the indicator data it's earmarked to achieve. Above all it should be simple to use and fit for purpose.

  • Data collection tools needs much attention when creating them. The the ones that have been well created tends to collect important and vital information. However, this will only be achieved if the tools have been tested prior to their use.

  • In creating data, the type of tools used is twice as important as the "subject" the form created will be used for.

  • In creating data collection tools, one should be careful not to give additional information that is not essential to avoid too much detail.

  • Data collection tool may be forms, documents,or guides that help individuals or organizations collect data. Each data collection method will use a different set of data collection tools. For instance, a Participant tracking form is commonly used type of data collection tool.

  • On creating Data collection tool you must consider the type of instruments you will need and plan to create all those of a similar type at the same time. For example, create all the questionnaires you will need and then move on to all interview protocols, documentation worksheets, etc. Tackling the tasks in this manner helps you leverage the work from one instrument to the next of its type. Use the Documentation Worksheet, Focus Group Worksheet, Interview Worksheet, and Questionnaire Development Worksheet to guide your work. Questionnaire items you write for CHWs can be edited slightly to become appropriate for CHW Supervisors, for instance, and so grouping the work will help you complete it more quickly.

  • Creating data collection tools is creating a form, documents or guides that help us collecting data. A common used type of data collection tool is participant tracking form. It undergo 6 steps:

    1. understand our indicators
    2. Decide which types of information to be record
    3. decide how our form will be filled
    4. Create the form
    5. Test the form
    6. Revise the form
  • The data collection tool should be pre tested and the constructive feedbacks and loopholes should be addressed.

  • well said in this regard.

  • The main starting point for data collection is the purpose. The purpose is an indicator that we need to measures, how the indicator will be measured, where will the data be collected, when do data collection start, and who will collect the data? In addition to design the tools, you can also look at indicator measurement column to get all information that are necessary to measure the indicator. You can then, design the tool inclusive of all that information, pilot test it and revise it, and then deploy the tool for data collection. You can kept monitoring the data collection process and adjust the challenges that looping.

  • this lesson has been so interesting so far . i believe every project should have their own unique set of codes for their participants tracking tool. collecting data on the other hand is a rigorous process but worth the sweat once all your data is collected andModule+1+-+Introduction.pdf is being use to improve the performance of your project and overall end goals.

  • very much informative and easier to understand than even the course notes. thanks alot

  • Data collection tools should be simple and as short as possible, while still containing all the questions required to get the desired information. Ambiguous questions that can be misinterpreted should be avoided.
