    To identify risks and assumptions, it is helpful to think about all possibilities of what will negatively affect the outputs, inputs and outcome of your project. It can vary from natural, social, political, cultural, financial causes. In one of our project, one of the risks that the project had to deal with was the unpredicted category 5 cyclone that encountered the project just when the project had started making it difficult for communities to commit because they were faced with problems that needed urgent attention such as improving social services, health and basic needs.

  • In instances where the population literacy levels are low, use an interpreter during focus group discussions.
    In instances where you are conducting a survey, then you can also translate the tool to a language that most participants are conversant with.

    The best way to make sure that one is creating data collection tools that one's users will be able to use easily is by engaging in simple language and instruction methods, but also by testing one's tools with peers, the community, stakeholders, etc. This is done to gain their feedback and input on this matter, which in turn, will make the tool much stronger and clearer.

    Some tips I could offer is to use simple words and offer a translated version of the tool. For example, if one is conducting research in Quebec, Canada, they might want to incorporate French in their tool in italics below or next to the English questions. Also, one could ask someone who fits that criteria to test the tool in order to gain their feedback and input on how to make it clearer or more understandable.

    I believe your tip of an interpreter is excellent, specially in cases where people have a disability (hearing, seeing, motor, etc) that they would need additional assistance in conducting the exercise. For example, if it is a hearing disability then a sign language interpreter should be included, if its seeing the survey should be in Braille, and if its motor then someone can write down their answers. Nonetheless, with the appropriate help, they can also participate in the study and let their voice be heard.

    I agree with you. Some Participant Tracking Form require that the participants writes on the form as a way of showing that the field officer got information from different people and to avoid cases where the field officer sits under the tree and composes/manufactures the data.

    I was once working in the project where farmers of different education levels would register fill in the participant tracking form themselves. We lost a lot of data while entering the data in the computer as we couldn't understand some hand writing.

    1: Case Studies

    In my opinion the best way to ensure the effectiveness and ease of use for your collection tool is ensuring that the tool is in simple understandable language and of course to test run it with the users. If they are comfortable using it, great. If not, you can speak to them about what makes them uncomfortable and establish ways that will work for both parties without compromising the data you are collecting.

Also, it is always wise to pretest your tool with the target population or population with similar characteristics as the target population in order to ensure that your tool is okay and questions are well-understood by the respondents especially in case of interviews and surveys.

  • One way to create tools that are simple to use is to use simple and explanatory language that the user can understand and also key words (the meaning of abbreviations used) should be provided at the bottom of the form when using abbreviations such MA, KM etc.

  • The tools should use simple language( Plain English). It should avoid professional jargon and should not be ambiguous. The tools should be created to collect the minimum possible data ( Should not collect necessary data). Where possible clarifications for some questions should be given in parenthesis

      @charlesngandu: Am in total agreement about language that is simple and understood by all. My problem is that in communication, you cannot be too sure what this simple language is. People tend to always misinterpret even the simplest instructions for so many different reasons (the environment, our education level etc).

    3. Conduct a training for the data collectors to make them familiar with the tools
