  • The budgeting process in my organisation is essential for first, the board of governors who have to review and approve the budget before it is implemented. The director general has a major stake in the process because he is responsible for providing direction, setting objectives and coming out with goals and strategies to facilitate the preparation of a feasible budget. The finance team, directorates and department heads are also involved in the process. They contribute immensely to the process by providing expected activities for execution in the budget year. The finance team helps with the provision of data on revenues and expenditures incurred in the previous and current budget year to ensure adequate projections are arrived at for the organisation.   • For us our board members, program assistant and funders will need to use our operational budget. Our board members are very hands on and help with the formation of the budget since we are still small. They need to know info about the programs we have where we're spending and what's coming in and from where. The program assistant needs to know the budget to know how much is available for materials etc to run that program. They are usually involved in any budgeting meetings we have as well. Some of the funders (grants and sponsors) ask to see our budget to see how much we're anticipating raising as most of them have set aside specific amounts for orgs based on their operating budget income amounts.

    In actuality, my organization monitors cash flow on a monthly basis, producing a cash flow report that is distributed to staff and the finance committee. (It is the treasurer and finance committee chair who do the monitoring, with assistance from the administrator.) This seems to work well for the size of our organization and the volume of our income and expenses. We have been in existence for about 75 years, and have been in our current location for about 15, and neither our income or expenses changes rapidly over time except when we've taken on an occasional capital expense (building purchase; building renovation). Also, we have enough reserves to protect us if we do have a month when outflow is greater than inflow. (I haven't been close enough to the budgeting process to know if that ever happens, but I do know that we have reserves.) So monitoring cash flow on a monthly basis is frequent enough to ensure that our finances are healthy without being too often to be useful.
