  • Data Archiving protects older data that is not needed for everyday operations of an organization that is no longer needed for everyday access. Data Archiving reduces primary storage required, and allows an organization to maintain data that may be required for regulatory or other requirements.
Data archiving is intended to protect older information that is not needed for everyday operations but may have to be accessed occasionally. Data archives serve as a way of reducing primary storage and the related costs, rather than acting as a data recovery tool.
Some data archives allow data to be read-only to protect it from modification, while other data archiving products treat data as to allow users to modify it.
The benefit of data archiving is that it reduces the cost of primary storage. Alternatively, archive storage costs less because it is typically based on a low-performance, high-capacity storage medium.

Data archiving take a number of different forms. Options can be online data storage, which places archive data onto disk systems where it is readily accessible. Archives are frequently file-based, but object storage is also growing in popularity. A key challenge when using object storage to archive file-based data is the impact it can have on users and applications. To avoid changing paradigms from file to object and breaking user and application access, use data management solutions that provide a file interface to data that is archived as objects.
Another archival system uses offline data storage where archive data is written to tape or other removable media using data archiving software rather than being kept online. Data archiving on tape consumes less power than disk systems, translating to lower costs.
A third option is using cloud storage, such as those offered by Amazon – this is inexpensive but requires ongoing investment.
The data archiving process typically uses automated software, which will automatically move “cold” data via policies set by an administrator. Today, a popular approach to data archiving is to make the archive “transparent” – so the archived data is not only online but the archived data is fully accessed exactly as before by users and applications, so they experience no change in behavior.

  • I think the primary data can only be accessible to the people involve in M & E team. Apart from the, if others need data then only the data needed can be made accessible.
Spread sheet by Microsoft has the find option, by typing key words, we can search the data we need. But before that it should be ensure that the data is named properly.

  • As we carry out monitoring, evaluation, and impact assessments there is the need to carefully select the right set of information support systems at various administrative levels as well as the skills required for the management analysis and interpretation of collected data.
Even when data have been carefully collected it is still needful to manage data properly.
Good data management includes developing effective processes for consistently collecting and recording data, storing data securely, backing up data, cleaning data, and modifying data so it can be transferred between different types of software for analysis.

  • this module has taught me on how data stored and accessed
looking at how your data is accessed and archived (stored long-term). Also from understanding ,however, no matter which system you adopt, there are some important questions that should be always ask, which are
Who should be able to access the data?
Should different types of people have different types of access?
How will I ensure that only people with permission can access my data?
    How will data be searched?
Does my data management software have a search or query function, or do I need to export my data into another format to search it?
When should data be archived and moved into storage? . Further understanding,in this case ethical consideration is a major source..which must be put into consideration.

  • many NGO do lost there data due to poor data mangement system that does not make proper uses of the electronic data management sytem based on the NGO quality

  • Ethical considerations should be strictly considered in data access and archiving practice to safguard confidential information. Moreover, in Data access and archive issues , the follwing issues are worthy to pay attention, access to data should be to the relevant people designated to use the data(workable guidleines should be prepared and put in to practice) effective mechanism should be created how to search data and archived and stored in to a long term storage.

  • This content is absolutely relevant to the course and program

  • Data collected should be accessible to all those relevant stakeholders and old data which are not temporary use like 3-5 years old data should be archive and store in a safe space. Those confidential and sensitive data should be keep safe and secure.

  • A very important topic for discussion.

  • Data Access and Archival shows how data is stored and accessed. They answer questions like;

    1. Who should be able to access the data?
      Everyone
      M&E staff alone e.t.c

2.) Should certain people be able to access only some of the data?

3.) Should different type of people have different types of access?

4.) How will data be searched

  • Along with the considerations for safety and access of archival information, it is also very helpful, especially in longstanding programs, to be able to access past projects and past ideas for the sake of institutional memory. It is very possible, especially in situations where there is turnover in positions, to have solutions to current problems that worked 5 years ago. If you have access to archived projects, you can learn from previous staff experts and find solutions.

  • Data access and store is very important.
Before we make it we have to think and study some information, like who has the permission of using it.

  • A good database should be well organised and have good mechanisms to store, organise, query and archive the data in a secure manner. Data leakages should be guarded against to protect the participants and the organisation.

  • I find this very important. information access is different depending the the stakeholder requesting. However, it important for stakeholder to get information in a simplified way. In my line of duty, we have stakeholders who may not use information generated from information systems and hence the need to simplify further. This is backed by law

  • The operating (broad scope) budget reflects the organization’s planned financial activities for the year ahead, showing how much revenue it expects from which sources and how much it will spend on operations. It’s a key tool in effectively and efficiently achieving the organization’s stated purpose, and should always align with an organization’s strategic plan. The operating budget must be centered around the primary goals and objectives of the organization.

  • It is so wonderful knowing some the facts here. Makes organization look easy.

  • Ethical principles need to be uphold at all times. Hence, data should be accessed only to the authorized staff only. Also archival need to be done by only authorized staff within the organization.

  • Le stockage des données peut elle être essentiellement numernumé ?

  • Data Access and Archival"
the M&E team should be access to the data because some data are confidential and it require to be confidential but some data that shows for example the progress or the activity is don't have problem to be disseminate but its not good that different type of people have access to different type of data because in this section you don't observe the confidentially of the data there is other ways that others can easily access to the data by having the ID and password for log in and the process of data cleaning should be conduct then the data should be enter to the data base.

  • Data must be good organize . Not everybody have contact with these sensitive collected data. For the security of participants who give their data with confidence, organization have the responsability to garant their security.

  • Your right, not everybody should access to collected data. And organization have to secure data and garant their access

  • Privacy data of beneficiaries must be protected and store at safe place, to avoid from other third party misuse the data.

  • what is the interest in archiving data ? Just to ease the work of the upcoming research. It is good before starting a research consulting past paper addressing the same issues(literature review)

  • Data storage is very important as it forms the basis for the preservation of the institutional memory.

  • THE WAY YOU STORE DATA IN PROPER WAY ,IT HELPS TO SAVE TIME IN SEARCHING AN ITEM IN DATA BASE.MOSTLY FORMAT AND CLEAR DESCRIPTION MUST BE OBSERVED WELL.

  • le format Excel semble être adapté.

  • Every Data stored at one time or the other needs to accessed and used. However access is highly dependent on how the data has been stored. Storage of data is also dependent on who you have decided will access it. if the data is processed and stored as software, used of password or access key to the computer device will require to be used. The key or password can be given to those decided to have access to the computer devices containing the data.
further the data if processed and stored in hard copy the folders can kept in the registry room on shelves or in the filing cabinet. The room should be lockable and keys kept in safe hands and only accessible by those accepted to have access to the data.
Further, archived data should be properly arranged such that at those rare accusations when it is needed it should be easily accessible.

  • Data storage is very important as it forms the basis for the preservation of the institutional memory.

  • Its better we have few people who can access data and storage must be safe and well protected

  • Really very intructive. Data interpretation can allow improving our knowledges

  • Data access is an attribute of permission of interacting with data. A number of factors are considered before permission is granted or denied or to what extent of access ; role of an individual, stakeholders interest among others.
Data archival involves storage of data after use for future reference and retrieval. Archived data is part of an organization's policy as well as some donors who may require data to be archived for a longer period after the completion of a project

  • Data access and archival, depends on the system used. But generally there are important issues to consider. These are;
    Who will access the data?
    Data security
For how long data will be archived?
In access and archival ethical consideration is important.

  • Congratulations.

  • I support your points.

  • There are different points to consider when managing data. These are as follows:

    1. Technology.
The advantages of using technology are:
•Data can be downloaded from nearly anywhere
      •Data can easily be accessed
      •Data can be reorganized
•Data can be prepared for data anaysis
    2. Data management choices. Include file naming rules.
    3. Data organization. Hierarchical creation of folders and sub-folders
    4. Data access and archiving. Include who should and shouldn't access part or all the data, how data will be searched and when data can be achived and moved to storage.
  • It is crucial to organize, digital filing and naming all documents. It save time to find documents. Also to consider confidentiality, who get access to information and to what extend.
It is good to follow the 5 steps to analyse the qualitative data

  • Data should be saved in a way that it is easy to access for further use. The data we have saved should be accessed to few people for the sake of confidentiality. In case of need, we might give access to a number of individuals to go through the data and also give them permission to edit it if needed. But keeping the management team in consideration.

  • The issue of access to databases for research purposes is very important for the development of a company's activities.
Storage managers regularly face the challenge of integrating and storing ever-increasing volumes of data. Since primary storage is relatively expensive and has limited capacity, most companies transfer their old data to an archive. This practice helps to free up space on primary storage to integrate new data.

  • The specific mechanisms that you might use to access or archive data will depend on the software or system that your team uses

  • Is there any simple way to limit access to a word document?

  • very useful topic

  • Data storage and management can not be overemphasized, that is one of the major aspect of M& E that should be taken very serious. This is because a single mismanagement can destroy the whole project.

  • it is indeed important to store data in clear manner for easy access. the letters should be well sorted

  • i think the best way is to store data in online. this can be stored in apps like one drive app

  • The key steps in data management are; data formats, naming and recording rules, data organization and archival and access (retrieval)...

  • In instance were there is a data breach, it adds expense and cost to the project to rectify things (that's if they can even be rectified)...

  • Distinctions must me made as to which data can be accessed by who for the sake of data security...

  • And this negatively impacts on project appraisal...

  • And this will in most cases disadvantage the beneficiaries...

  • Data security actually becomes complicated if you have a physical system of keeping files...

  • I think most of these issues just require some time and practice...

  • Data naming must be consistent, logical and confidential...

  • Data Access and Archival looks at how data can be retrieved and how it can be moved in to storage. It also looks at who should access it. It is important also to look at how data is arranged for easy retrieval by those permitted to access it. Easily organized data, put in a good hierarchy, can easily be searched for and accessed, hence minimize time spend in retrieving it.
In data access and archival it is important to consider ethical issues on confidential as this can have ethical implications. if confidential information is accessed by or shared with wrong people it can compromise the safety of the individuals or groups described in the data.

  • Data achive is really needed management one.

  • Data access and Archival directly speak volume of data accessibility criteria. It is highly security oriented. If your database is discriminatory that you are sure of maintaining a high code confidentiality.

  • How different stakeholders have access to data depends greatly on the procedure choice of the different stakeholders, role play and the nature of data collected. If the data collected when expose to authorize and/or the public will stigmatize, incriminate, implicate the individuals producing the information, then the rate of discriminatory access becomes very high.

  • Data access and archival are quite imperative to the data management process

  • Data management choices should be well thought and implemented so that there is easy and controlled access without breaches from external parties.

  • Data access is important in a project. It is good to determine who needs access and what type of access is needed. Some people may need only 'view' access why others may have 'modify' access. It is also important to determine when to archive data. Most projects archive data for 3-5 years.

  • Questions to ask and consider for data access and archival:

    • Who should be able to access data? Only project staff, project management or all staff members??
    • Should there limitation of access to data for certain people?
    • Should different types of people have different types of access levels?
    • How will I ensure data security?
    • How will data be searched/ Via the online database or through exporting from the database
    • Decide at what stage data must be archived and how
  • If confidential information is accessed by or shared with the wrong individuals, it can compromise the safety of the individuals or groups described in the data. Access and permission must be clearly defined to all team member.

  • Data management is essential in a structure. in fact, not everyone has access to the data. identifiers can be assigned to each level of responsibility to access data. sensitive data must be protected. we must be able to maintain the confidentiality of data to protect certain types of beneficiaries. However, even if the data is protected, we must be able to dispose of it on time.

  • Hi evrybody, I'm a new comer in the group.

  • What if you get ruined ofbthe old archived data and then stakeholders claims for it, what can you do?

  • Misplace of data can lead to termination of contract of project.

  • It is important to have security for data as this an ethical consideration. I f data is not stored securely it might end up in the wrong hands and be used for the wrong purposes. It is important on considering who should have access to the dat, and whether certain people must be able to, access only some of the data
