How can you make sure that you are creating data collection tools that your users will be able to use easily?

What tips would you offer other learners for creating tools that even users with low levels of education, training, language fluency can use?

After you have given some advice, read your peer’s comments. Which tip do you find the most useful or important? Respond to this tip.

Best way is to set codes to the options under the questions so that the answers can be recorded in codes. For open ended questions its better if they write down whatever the participant answers

    Good idea

  • To create data tools that are easy to use, it is important to pre test the tool so that bottle necks that may arise during the actual data collection are identified and corrected.

  • Use simple, clear language and be specific with your questions.
Do not ask to many questions.
The form should not be too lengthy.
Provide clear instructions to the user(s).

One way to create simple tools to use is to adapt the tool to the level of knowledge and experience of the M & E staff and the degree of instruction of the beneficiaries from which information will be collected

  • Creating data collection tools one should make it user friendly, simple so that anyone can understand what need to be done. Participant age and other relevant information should be included

  • The best data collection tools that will be easy to use for anyone at least should be clear and easy to understand so that the data collected will be also easy to record..The tools should have a section for the name if the person is comfortable with giving out such information, the sex,the age this being the disaggregated data and also have contact details. This will make it easier for even the donors to be able to evaluate if need be, the information received. The person in the field should also have a clear handwriting so as to enable whoever will enter the data to have correct information and data.

  • one way to create data collection tools is to use simple language

  • for developing the form its important to know about the indicator, how we are going to define indicator , what we wanna record about the indicator , how and what is the purpose of indicator. when you will keep in mind teh answers to all these questions than obviously will be able to develope a form which is serving the purpose.

One way to to create tools that are simple to use is by criticallly examining your indicators. They'll give you a hint on how to go forward.

  • To use basic english or words that are easily understandable to the people who will use the form and also create enough room for the filling in the data collected. mostly, please make sure the form is well understood before sending to the field to be used.

  • I feel the best way to create a monitoring tool is to use simple vocabulary that everyone can understand and you can also you the native language if need arise.

  • One way of creating a simple data collection tool is to use simple English of words that are not hard to interpret. please also dont forget to put the metadata above the page .

  • Be focused: Due to excitement , most of the time people collect too many unnecessary data are collected, which cause a lost of resource and energy. So, it is important to have focused what will be collected and where it will be used to understand the impact and help in planning for strategy for next phase.

  • One way to create a simple but a very objective tool is to use simple words or clear language while focusing only on essential data. The tool should not be congested with unecessary and confusing parts that can distort the essence of the tool. The tool should be clear, simple and objective.

Exactly the indicator must be well understood before the tool is made. A good tool must embrace the indicators.

One way to to create tools that are simple to use is after you create the tools using the simple steps mentioned in this module, it is better to translate to local dialect where every one understands and it makes it easier for field staff even if you don't get to go through the tool with them in person.

  • One way to create tools that are easy to use is to ensure the language used is simple to understand ensure that the data collectors have some minimum level of education and are able to interpret to the participants were can not understand. The tool should be able to be tested and revised to give it a clear guidelines on how to use it , another way is to ensure it has the information that is needed in order to collect the information needed to that effects. you need to indicate the metadata

  • In creating data collection tools, there should be consideration of the user's language and literacy levels, so that the tool is easy to use and there will be no room for misintepretation.

  • the tool must contain simple and clear words.

To use words that are not complex in explaining how the tool is to be used

that's is true and i like that. complex words creates some difficulties in the understanding of data collection by the users

  • It is easier to use simple words in your forms and avoid tools that will make participants write too much rather there should be boxes to thick.

  • In creating data collection tools, it is very important to use simples words and sentences in your forms. Also, they should not be cumbersome to fill. If possible avoid forms that require the participants to write sentences rather, it should be forms with boxes for participants to thick the boxes.

  • To create data tools that are easy to use entail having certain considerations. Among them include the following.

    Accuracy and Precision.
    Legitimacy and Validity.
    Reliability and Consistency.
    Timeliness and Relevance.
    Completeness and Comprehensiveness.
    Availability and Accessibility.
    Granularity and Uniqueness
Other factors to consider are the type of data that you want to collect and a good understanding of the your indicators. Another factor is developing the tools in alongside the users. This makes sure that the people that would be using the tools understand them and how they can be applied.
Another way is to ensure that the tool is simplified and easy to use.

  • The most common thing that comes to my mind is using visual means/graphic decriptions where it is possible.

To make sure that you are creating data collection tools that users will be able to use easily, phrase your tool in a way that could be easily comprehended. Do not complicate. Be direct to the point.

What tips would you offer other learners for creating tools that even users with low levels of education, training, language fluency can use?

Keep questions or statements concise. Probably use Likert Scale.

Thanks! I got to know a new technique!

  • One way to create data collection tool is to follow who? What? How often? By Whom? and why important it is for the project lifespan. Remember, the data are about people that's why they need to be treated with respect. The workflow should be well structured in a such way that right from data collection up to reporting all necessary information might be included.

  • You should design a form that is simple to read and understand. Your code should also be easy to use.

  • The best way in creating such a tool is the avoidance of ambiguity of language. Volunteers or the like should be able to understand and not misinterpret your language. Also where ever training is required, training should occur. All tools should be tested before taken out to the field.
Learner should avoid being completely novice to the responsibility they are to perform.

  • Hello,
I am Bushra Rana from Pakistan. One way to to create tools that are simple to use is to test the language in the tool with a non-native English speaker.

  • I think the tool should be kept simple; not too much/unnecessary information columns/rows should be added, the team should also be properly briefed and a pilot should be done before execution.

What i could suggest to make the tool simple is to have it short and clear, have instructions on how to fill in.for each question have a translation beneath.lastly use simple symbols e,g.Y for Yes and N for No

    This is helpful

The best way to make sure that one is creating data collection tools that one's users will be able to use easily is by engaging in simple language and instruction methods, but also by testing one's tools with peers, the community, stakeholders, etc. This is done to gain their feedback and input on this matter, which in turn, will make the tool much stronger and clearer.

Some tips I could offer is to use simple words and offer a translated version of the tool. For example, if one is conducting research in Quebec, Canada, they might want to incorporate French in their tool in italics below or next to the English questions. Also, one could ask someone who fits that criteria to test the tool in order to gain their feedback and input on how to make it clearer or more understandable.

  • One way to to create tools that are simple to use is ELI5 Model "Explain like I am 5 years". It must be easily read and understood and for [participant who cannot translate , using a translator will be essential and i recommend facilators should help participant who cannot read translate.
